AI Diagnostics

๐Ÿ” Overview

FieldFix includes a powerful AI-driven diagnostic system designed to help operators, mechanics, and fleet managers identify equipment issues faster. You describe the problem โ€” and FieldFix generates a structured diagnosis with probable causes, tools needed, repair steps, time estimates, and safety warnings.

AI Diagnostics do not replace a professional mechanic, but they give you a strong head start in troubleshooting.

๐Ÿ› ๏ธ How to Run a Diagnostic

  1. Navigate to Troubleshoot in the menu
  2. Choose one of two options:
    • Select an existing machine
    • Enter machine details manually (for rentals or equipment you don't want to save)
  3. Describe the issue in as much detail as possible
  4. (Optional) Add error codes
  5. (Optional) Upload one or more images
  6. Submit

FieldFix will process everything and redirect you to the Diagnostic Results page.

๐Ÿ“ธ Image-Based Diagnostics

FieldFix can analyze images (up to 8MB) using Gemini 2.0 Flash Exp, improving accuracy for problems like:

  • Leaks
  • Visible cracks
  • Wear patterns
  • Loose or missing components
  • Burnt connectors or wiring issues
  • Hydraulic or DEF system anomalies
  • Undercarriage wear
  • Cooling system issues

Tip: Upload a clear, well-lit image with the problem area centered.

๐Ÿ’ฌ How to Write a Good Issue Description

The more detail you provide, the better the results. Here's what the AI works best with:

โœ… Good example:

"Bobcat T770, 2019. Engine surges under load. Happens after 30 mins of operation. No smoke. DEF system was serviced last month. Codes U00303121 and U00433707."

โŒ Bad example:

"Machine acting weird."

Include when possible:

  • What the machine was doing
  • Sounds or smells
  • Warning lights or codes
  • Whether it's intermittent or constant
  • What was recently repaired
  • Conditions (cold, hot, under load, on hills)

๐Ÿ“„ Understanding the Diagnostic Report

Each report includes the following sections:

1. Probable Reason (1-sentence summary)

A quick explanation of the most likely root cause.

2. Confidence Level

Displayed as a percentage based on the quality of your input.

3. Ranked Root Causes

A list of possible causes, ordered from most to least likely. Each includes a mini description and confidence score.

4. Tools Required

A checklist of tools commonly needed for the repair or inspection.

5. Step-by-Step Fix Instructions

Clear instructions for what to check and how to address the issue.

6. Estimated Repair Cost

Low and high-end estimate based on typical shop rates and parts pricing.

7. Estimated Time Required

Labor time range to complete the likely repair.

8. "When to Stop" Safety Warnings

Scenarios where you should shut down the machine immediately or call a mechanic.

๐Ÿ”„ Follow-Up Questions

After the report is generated, you can ask the AI:

  • Clarifying questions
  • How to perform specific steps
  • "What ifโ€ฆ" variations
  • Whether the issue is safe to operate with
  • Whether a symptom points to another failure

This gives you real-time troubleshooting without rewriting your issue.

๐Ÿง  How the AI Works (Simplified)

FieldFix blends multiple intelligence layers:

  • Gemini 2.0 Flash for text-based reasoning
  • Gemini 2.0 Flash Exp for image analysis
  • Google Search API to pull real-world data from manuals, forums, and tech documents
  • Structured prompt engineering created specifically for heavy equipment
  • Prioritized weighting based on machine type, age, hours, and reported symptoms
  • Machine history (if diagnostic is run on a saved machine)

This produces a deeper, more accurate diagnostic than a generic AI or chatbot.

๐Ÿšซ AI Limitations

AI is helpful, but not perfect. It may struggle with:

  • Extremely rare issues
  • Poor-quality images
  • Conflicting or missing information
  • Brand-new error codes
  • Major internal failures not visible externally

For safety-critical systems (brakes, rollover issues, hydraulic failures), always consult a professional.

๐Ÿ’พ Where Diagnostics Are Saved

If you ran the diagnostic on a saved machine:

  • It will appear in the Diagnostic History page
  • You can reopen, export, or review old reports
  • Notes inside the diagnostic are saved and timestamped

If you ran it manually (without selecting a machine), the report is saved to your account but not tied to a machine.

๐Ÿ—‘๏ธ Deleting Diagnostics

You can delete an individual diagnostic from inside the diagnostic view. Deleting it removes:

  • The full report
  • Images
  • Notes
  • Follow-up chat history

This action cannot be undone.

๐Ÿ’ก Best Practices for Accurate Results

  • Upload at least one photo if the issue is visual
  • Include error codes whenever possible
  • Be descriptive โ€” "loses power while lifting" is better than "acting up"
  • Update machine hours so the AI knows wear level
  • Run diagnostics on saved machines for better context

Expenses & Cost Tracking

๐Ÿ’ฐ Overview

FieldFix gives you a clear, real-time understanding of what each machine actually costs to run. Every expense you logโ€”from fuel to major repairsโ€”updates the machine's cost-per-hour and provides insights that help reduce downtime and operating costs.

  1. Open the Expenses tab
  2. Click the expense entry
  3. Edit details
  4. Save

To delete an expense:

  1. Click the expense
  2. Select Delete

โš ๏ธ Deleting an expense permanently removes it from cost-per-hour calculations.

๐Ÿ“Š Understanding the Cost-Per-Hour Calculation

FieldFix automatically calculates the machine's true cost per hour using:

  • All logged expenses
  • All service events
  • Recorded machine hours
  • Payment history
  • Rental payments
  • Fuel & fluid usage
  • Maintenance and wear items

The formula updates automatically as you log new entries.

Cost per hour = (Total lifetime expenses) รท (Total machine hours)

This shows you the realistic operating cost of each machineโ€”not just fuel and repairs, but the full ownership cost.

๐Ÿ“ˆ Expense Charts & Visualizations

FieldFix includes multiple interactive charts found under the Charts tab for each machine.

1. Monthly Stacked Expense Chart

Visual breakdown by category:

  • Fuel
  • Parts
  • Payments
  • Service
  • Maintenance
  • Other

Helps you see spending spikes or recurring patterns.

2. Cost-Per-Hour Trend Line

Shows how your cost per hour increases or stabilizes over time as expenses accumulate.

This helps answer questions like:

  • Is this machine becoming too expensive to keep?
  • Should it be replaced soon?
  • Is the cost rising due to maintenance or poor usage?

3. Category Distribution Pie Chart

Breakdown of total expenses by category.

Useful for identifying major cost drivers, such as:

  • Excessive repairs
  • High fuel consumption
  • High rental or loan payments

๐Ÿง  Smart Expense Tracking Tips

To maintain accurate numbers:

  • Log fuel every time you fill up
  • Add monthly payments as recurring expenses
  • Enter service logs immediately after work is done
  • Include notes for repairs ("Replaced drive belt, customer hit stump")
  • Break large invoices into individual expense entries if needed

The more detailed your logs, the better your analytics.

โ›ฝ Fuel & Fluid Tracking

Many operators underestimate fuel costs. FieldFix helps you track:

  • Fuel volume
  • DEF usage
  • Hydraulic fluid
  • Oil and coolant purchases

This makes it easy to compare fuel efficiency across machines.

๐Ÿ”ง Service Costs Included Automatically

Any Service Log cost is automatically added to expenses.

You do not need to add the cost twice.

This includes:

  • Repairs
  • Diagnostics
  • Wear items
  • Fluid changes
  • Preventative maintenance

If a service event has a cost associated with it, FieldFix counts it toward lifetime expenses.

๐Ÿฆ Monthly Machine Payments

If your machine has a loan or lease:

  • Log a Machine Payment expense once per month
  • Include the full payment amount

This ensures your ownership cost is fully captured.

๐Ÿ— Rental Machines

If you rent a machine:

  • Use the Rental Payment category
  • Log daily, weekly, or monthly rental charges
  • Enter any fuel or damage charges separately

Rental machines generate accurate cost-per-hour numbers just like owned machines.

๐Ÿ—‘ Removing a Machine = Removing Its Expenses

Deleting a machine permanently deletes:

  • All expenses
  • All service logs
  • All notes
  • All charts
  • All diagnostic history

So make sure you truly no longer need it before deleting.

๐Ÿ’ก Questions to Ask With Cost Tracking

FieldFix helps answer fleet questions like:

  • Which machine is the most expensive to operate?
  • Is a machine worth repairing or should it be replaced?
  • How much am I spending on maintenance vs. fuel?
  • Do certain operators cause higher expenses?
  • When will this machine's cost per hour surpass profitability?

These insights are only possible when expenses are logged consistently.

Service Logs & Service Centers

๐Ÿงฐ Overview

FieldFix includes a full maintenance tracking system that logs repairs, preventative maintenance, wear items, and any work performed on your equipment. Service Logs help you understand the true history of each machine, reduce downtime, and identify patterns before they become costly failures.

These profiles help keep all vendor info organized and accessible.

โœ๏ธ Editing or Removing Service Centers

To edit:

  1. Open the Service Centers page
  2. Click a center
  3. Edit fields
  4. Save

To delete:

  1. Click a center
  2. Select Delete

โš ๏ธ Deleting a service center does not delete any past service history. Those events will still show the shop name exactly as it was at the time of service.

๐Ÿ“š How Service Logs & Service Centers Work Together

When adding a service event:

  • Select an existing service center
  • Or enter an independent shop manually

FieldFix automatically tracks:

  • Which shops you use the most
  • How much money each shop costs you
  • How often each machine visits certain shops
  • What types of repairs lead to the most downtime

Over time, this gives you a clear picture of which vendors deliver the best value.

๐Ÿง  What This Helps You Answer

FieldFix helps identify:

  • Which machines require the most repairs
  • Which vendors are the most expensive
  • Which categories (fluids, repairs, diagnostics) cost you the most
  • Whether preventative maintenance is being done on time
  • Whether repairs are increasing (leading indicators of replacement)

This transforms raw service entries into real decision-making power.

Data & Security

๐Ÿ” Overview

FieldFix is built with modern, enterprise-grade security practices to ensure that your fleet data, diagnostic reports, service history, and billing details remain safe, private, and fully under your control.

We do not sell user data, share fleet information, or store payment details on our servers.

This section explains how FieldFix protects your information at every level.

๐Ÿ›ก 1. Data Isolation & Access Control

Row-Level Security (RLS)

FieldFix uses Supabase Row-Level Security, ensuring each user can only access their own:

  • Machines
  • Diagnostics
  • Service logs
  • Expenses
  • Notes
  • Vendors
  • Subscription info

Other users cannot see or access your fleet data โ€” even internally.

Per-User Data Isolation

Every database query automatically filters by your user ID. This guarantees that no two accounts can overlap or view each other's records.

๐Ÿ”‘ 2. Authentication & Account Security

Supabase Auth

FieldFix uses secure email/password authentication backed by Supabase.

Security features include:

  • Secure password hashing
  • Token-based sessions
  • Automatic session expiration
  • Cookie-based authentication
  • Optional email verification

Password practices

FieldFix never sees or stores your raw password โ€” only encrypted hashes.

๐Ÿงพ 3. Payment Security (Lemon Squeezy)

FieldFix does not store or process payment details.

All billing is handled by Lemon Squeezy, a PCI-compliant payment processor.

Lemon Squeezy manages:

  • Card storage
  • Subscription renewals
  • Invoices
  • Taxes
  • Payment method updates

All financial data is encrypted and secured on their platform.

๐Ÿ“ 4. Storage & File Security

Images uploaded for machines or diagnostics are stored in Supabase Storage, which provides:

  • Private buckets by default
  • Signed URLs for temporary access
  • Encrypted at rest
  • Strict access control per user

No images are publicly accessible without explicit permission.

๐Ÿ”’ 5. Data Encryption

Encryption in transit

All communication between your device and FieldFix servers uses TLS 1.2+, preventing data interception.

Encryption at rest

All stored data โ€” including text, numbers, and images โ€” is encrypted inside Supabase-managed Postgres & Storage systems.

๐ŸŒ 6. API & AI Security

AI Processing

Diagnostics use Google Gemini models through secure API keys stored server-side. User diagnostic text and images are sent directly to Google's secure servers, not to third-party logging tools.

No training from user data

Your fleet data is not used to train any AI models.

API Keys

All API keys (Gemini, Search, Lemon Squeezy, Supabase) are stored in server-side environment variables and never exposed to the client.

๐Ÿงน 7. Data Deletion

We take deletion seriously.

When you cancel your subscription or delete your account:

  • All machines
  • All expenses
  • All service logs
  • All notes
  • All diagnostics
  • All service centers
  • All stored images
  • Your subscription record

โ€ฆare immediately and permanently deleted.

We do not archive, retain, or back up user data after deletion.

This ensures full privacy and compliance with modern data standards.

๐Ÿ’ผ 8. Internal Access & Logging

FieldFix team members cannot access your account or view your data without:

  • Your explicit permission
  • Temporary support-level access for troubleshooting (if requested)

FieldFix does not use internal dashboards to browse user data.

All support access is logged and monitored.

๐Ÿ— 9. Infrastructure & Deployment Security

Hosting

FieldFix uses:

  • Vercel for hosting the application
  • Supabase for database and storage
  • Google AI for diagnostics
  • Lemon Squeezy for billing

Security measures include:

  • Automatic SSL
  • Access logs
  • Network isolation
  • Serverless functions with sandboxing
  • Automatic scaling & patching

All infrastructure providers follow strict industry security standards.

๐Ÿ”„ 10. Backups & Reliability

  • Supabase provides fully managed database redundancy
  • Automated backups are performed by the platform
  • Images are replicated across multiple availability zones
  • Vercel handles edge caching and failover routing

This ensures uptime and data consistency without exposing user data.

๐Ÿง  11. Privacy Practices

FieldFix does not:

  • Sell data
  • Train AI models using your information
  • Share machine or fleet details with third parties
  • Track operators or behavior without consent

We only store data required to operate the platform.

๐Ÿ“ 12. What This Means for You

You can confidently store:

  • Machine details
  • Service history
  • Expense logs
  • Diagnostic images
  • Vendor information

โ€ฆknowing that everything is secure, encrypted, isolated, and fully under your control.
